Full Charge Bookkeeper / Accountant Job Description

Reports to: Managing Director


Accounts Receivable/Payable

  • Manages the full cycle of accounting duties, such as accounts payable and accounts receivable
  • Maintains accurate records of financial activities of organization
  • Verifies, allocates and posts details of business transaction in Sage/Peachtree
  • Prepares bank deposits
  • Prepares invoices
  • Reconciles and balances accounts
  • Monitors cash flow

Financial Statements

  • Prepares monthly financial statements and supporting documents for Executive and Board Review
  • Prepares profit and loss statements for each production, special event and program
  • Prepares employee hourly reports for Managing and Artistic Director review
  • Assists auditor with year-end financial reports

Payroll and taxes

  • Coordinates payroll changes with Payroll firm
  • Processes employee timesheets, and run hourly payroll checks
  • Prepares withholding, social security and other tax reports
  • Processes contracts, artist payments, union reports, benefits and dues payments


  • Works with Managing Director to develop and implement operating and capital budgets


  • Maintains grant payment information
  • Assists with budgeting and financial reporting on grant applications and reports as needed


  • Minimum 3-5 years’ experience in bookkeeping or accounting
  • Knowledge of computerized accounting; experience in Sage/Peachtree or Quickbooks a plus
  • Knowledge of regulatory requirements of processing payroll accounting transactions and payroll returns
  • Self-motivated individual, requiring minimal supervision
  • Strong organizational and follow-through skills
  • Courteous, professional, and good sense of humor

Time Commitment:

  • Part-time or full-time position, based on candidate.  Estimated 35-40 hours weekly.
